Exhibit activity is limited both in space and time. This part of the Event
  • will be open ONLY on Thursday, June 2, 2005 - from Noon to 3:30 PM
  • and can accommodate no more than 25-30 Exhibitors.
  • A full Event Registration is required to book Exhibit Space and the Exhibit Fee is in additon to that Event Participation fee. To assist in set-up and staffing of the exhibit, ONE additional person may be in attendance for the period of the Tech Fair only. Exhibit fee will include Lunch for that one additional person.

    The primary emphasis of this event is to examining in Working Sessions issues related to the business aspects of Phase 3. This is not a Technology Trade Show per se . However, often the most valuable part of any event of this type is the profesional and business contacts made, the discussions held in the hallways, over a cup of coffee/ glass of wine and at the lunch table. Having the chance to put materials on display and to talk about them directly is a very useful adjunct to that effort.
           Therefore, on Thursday, June 2, 2005, lunch will be served Buffet style and several of the rooms will be set up for Table Top Exhibits. Note that we cannot accommodate full size booths.
    Logistics:
    Table Top Exhibits are available only to those registered as full event participants. The fee for Exhibit facilities and space is set at $375.00 - $595.00. This amount is in additon to the regular Conference participation fee and is payable in full at the time space is booked. The Exhibit Fee covers
    • One draped table - standard six feet
    • Access to standard 110 Volt/20 amp electricity outlet
    • 1 ID sign with Company Name and Booth Number
    • 2 Side chairs
    • Facilities access and provision of Lunch for one additional person required to assist in set-up and management of the exhibit. This accommodation does not extend to further event participation
    • Any additional person(s) required for exhibit support must pay a fee of $50 each. This will include provision for the Buffet Luncheon but again does not include further event participation
    • On-site storage of Exhibit materials if necessary immediately before and during the event
    To insure inclusion of all Exhibitor information on this site and in related Conference Materials, all bookings, payment and related descriptions for promotional use must be received by Event Organizers by cob May 19, 2005.
    Cancellation Policy
    • There will be a $50 administrative fee assessed for all cancellations.
    • Cancellations must be received in writing or via email notification sent to be received by Event Organizers no later than May 25, 2005 2PM (Eastern).
    • Cencellations received after that time or Event No-Shows will forfeit the Exhibit fee in its entirety.

    Applicable Rules

    • Exhibitors agree to work within the installation and dismantling times set by Event Organizers and to have at least one person staffing their booths during published exhibit period.
    • All persons staffing exhibit booths must be registered.
    • Exhibitor assumes the entire responsibility and hereby agrees to protect, indemnify, defend and hold harmless the Innovation Development Institute, the host facility, the officers, employees, and agents against all claims, losses and damages to persons and property, governmental charges or fines, and attorney's fees arising out of or caused by exhibitors installation, removal, maintenance, occupancy or use of the exhibition premises or any part thereof.
    • The exhibitor shall be liable to the host facility and/or the Innovation Development Institute. for any damage to the building and/or the furniture and fixtures contained therein which shall occur through acts or omissions of the exhibitor.
    • Neither the host facility nor the Innovation Development Institute shall be liable for the damage, loss or destruction to the exhibits by reason of fire, theft, accident or other destructive causes. Exhibitor shall lease the Exhibit space at their sole risk. Neither the host facility, the Innovation Development Institute, nor any of their agents, servants or employees will be accountable or liable for accidents to exhibitors, their agents or employees.
    • If the Innovation Development Institute should be prevented from holding the exhibition for any reason beyond their control (such as, but not limited to, damage to the building, riots, strikes, acts of government or acts of God) or if an exhibitor cannot occupy the assigned exhibit space due to reasons beyond the Innovation Development Institute control, then the Innovation Development Institute has the right to cancel the exhibition or any part thereof, with no further liability to the exhibitor other than a refund of exhibit space fees.
    • The exhibitor assumes all responsibility for compliance with ordinances, regulations and codes of authorized Federal, State, and City governing bodies concerning fire, safety, and health, together with the rules and regulations of the operator/owners of the property wherein the exhibit is held. Federal, State, and City laws must be observed.
    • The exhibitor acknowledges that the Innovation Development Institute and Host Facility do not maintain and are not responsible for maintaining insurance covering personal injury to the exhibitor or the exhibitor's property. It is the sole responsibility of the exhibitor to obtain insurance covering such losses or damages.
    • The Innovation Development Institute reserves the right to impose limitation on noise levels and any other method of operation that becomes objectionable. Any distribution of literature or samples shall be limited to the exhibitor's booth.
    • Reasonable efforts will be made to prevent loss. The final responsibility, however, lies with the exhibitor.
